Loyalty program reporting

Loyalty and incentive program reporting, without the monthly spreadsheet.

DashVault connects to your points program and keeps every report current: points awarded and redeemed, outstanding liability, breakage, redemptions, engagement and leaderboards. Every figure is calculated from every transaction.

  • No card needed

01/The ledger, reconciled

Every period opens where the last one closed.

Opening balance, plus points issued, less points redeemed, plus or minus adjustments, equals the closing balance. DashVault keeps that identity true for every month, week or day you choose, because the opening balance is built from every transaction since the program began.

  • Transfers are not redemptions

Points moved between profiles are left out, because nothing was spent. Expiries, payouts and corrections are reported as adjustments, not purchases.

  • Nothing hidden

What was excluded, and why, is stated under the table rather than quietly dropped.

02/What you get

The reports program teams build by hand, built for you.

Six standing reports are created with every connected program, and the rest are a click away. Each one exports to CSV exactly as filtered.

Program overview

Points awarded, redeemed and outstanding, month by month, with the running balance.

Liability forecast

The unspent balance rolled forward twelve months, with present and projected breakage.

Redemptions workbook

One sheet per period plus a points rollover, exported to Excel with live formulas.

Rewards by member

Who earned what, ranked and filtered by date range and reward type.

Awarded and redeemed pivots

Member-by-month tables for points in and points out.

Engagement

Daily sessions, logged-in members and the most engaged pages on your program site.

Leaderboards

Rank people or branches over a fixed window, narrowed by region or reward bucket.

Across every program

Profitability by program and product, redemption trends and product preferences in one view.

Float fund

Track a client-funded float against redemptions, with an email when it runs low.

03/Numbers you can defend

Built for the questions finance asks.

  • Points or dollars

Set a points-to-dollar ratio per program, and per reward bucket where rewards are worth different amounts. Every report switches with one toggle.

  • Clean data, reversibly

Exclude test accounts or stray rows with filters per data source. Excluded rows stay restorable, and the rule applies to every report at once.

  • Always current

Hourly refresh by default, a weekly full re-index for historical edits, and open dashboards that update without a reload.

  • Ask in plain English

“Which region redeemed the most last quarter?” is answered by a query over the ledger, not a guess.

04/Sharing

Send each stakeholder exactly their slice.

  • Report links for clients

One report or a whole dashboard on a link, gated to the email addresses you choose. Viewers are free.

  • Locked to the right buckets

Preset the reward buckets a link opens on, or lock it so nothing else ever reaches the viewer.

  • A board for every branch

Send each branch manager a leaderboard link pinned to their own branch.

  • Insights by email

Scheduled insight emails and a low-balance alert for client-funded floats.

05/Questions

Frequently asked questions

What is loyalty program reporting?

It is the regular accounting of a points program: how many points were awarded and redeemed, what the unspent balance is worth, how much will likely never be redeemed (breakage), and how engaged members are. Most teams assemble it by hand from exports each month. DashVault keeps it current automatically.

Which loyalty platforms does DashVault connect to?

Programs on a supported platform connect directly through the Partnership Program template, using the program’s API credentials, which stay on the server. Data from any other platform comes in through CSV, Excel or the configurable API connector, where AI dashboards and the report builder work on it.

Can I report in dollars instead of points?

Yes. Set how many points make one dollar for each program, and a different ratio for any reward bucket that is worth more or less. Reports then switch between points and dollars with one toggle.

How is points liability calculated?

The outstanding liability is every point awarded minus every point redeemed or adjusted, valued at your points-to-dollar ratio. The forecast then rolls that balance forward using your own award volume and redemption rate. How the forecast works.

How current is the data?

Program data refreshes on its own, hourly by default, with a full re-index weekly to catch historical edits. Open dashboards pick up new data without a reload.

Can clients see their reports without paying for a seat?

Yes. Share a single report or a whole dashboard by link, gated to the email addresses you choose. Viewers are free on every plan.
